SLP Traveling Board Meeting – June 24th, 2018

Call to order

Association, Board and League (Erik / Jeb)

Key updates:

  • Donations from St Louis Park LL, Park Tavern and two members
  • 4 teams registered via bids for MBT and MYAS, 2 teams (14AA, 15AAA) at large app for MBT
  • Donation from LL to cover tourney costs, gate fees and coach hotel

Items requiring board discussion / vote:

  • Year-end survey – Jeb consolidating feedback and will circle around with the group prior to sending out the survey
  • Year-end survey - Timing of distribution – discuss sending out survey at end of July
  • Registration fee for 2019 –

 

 

Secretary and Registration (Gino)

Key updates:

  • Need to start building out the online registration for the 2019 season
  • Working on better integration of our registration portal and slpbaseball.com - in progress

Items requiring board discussion/vote:

  • Player fees for registration
    • Was $425 this year - $400 + $25 tryout fee - Consider raising it fund the operating budget and minimize dependence of Slugfest.  Consider $450?
    • Recommend passing along processing fees to parents - parents get that this is a service fee)
  • Payment installment options - this year we offered the following payment schedule
    • $125 collected at registration (prior to day of tryouts)
    • $150 automatically debited on January 15th
    • $150 automatically debited on March 15th
  • Waivers to include in the registration process such as
    • Liability waiver
    • Player code of conduct
    • Parent code of conduct
    • Social Media policy

 

Player and Coach Development (Greg)

Key updates:

  • 14AA coaching update
  • Successes and competitive teams at all levels

 

Items requiring board discussion / vote:

  • Tryouts and pre-tryouts will be similar dates as previous years (weekend after Labor day) Any discussion/feedback on dates.   Erik and I will meet to discuss dates and finalize
  • Paid evaluators (last year we had 3 per day at 2 different sites) We also paid high school players to catch bullpens and help with infield drills.   Not sure this is needed for this year.
  • Coaches meeting mid August
  • Tryouts – 1st likely the Saturday, Sunday Monday after labor day (tentative)
  • Incoming meeting for Little League players coming into Traveling (50 players) – have it be staffed by parents and players from this years 13’s teams

 

Slugfest and Tournaments (Mike)

Key updates:

  • For next year we want to pursue new fundraising revenue opportunities.More to come.

 

Umpires/Trusted Coaches (Joel)

Key updates:

  • Good relationship with Ty Carlson of SLP Little League.  
  • Seeking to grow umpires organically in SLP by encouraging traveling players to hone umpire skills at LL level to graduate to higher levels down the road.
  • We will need umpires to make up for shortage

 

Schedule (Emmy)

Key updates:

  • Have been sending out practice/game confirmation schedules one week prior.  All coaches have been doing a great job responding and communicating.
  • Approaching play-offs (14AA and 15A start 7/16 and 14AAA and 15AAA start 7/9)
  • Reserved permits for all fields with Jim at the city for play-off times
  • Week of 7/16, all four teams are competing for field use and city permitted slots for other leagues; we should still be able to have enough games/practices
  • Louisiana Oaks is unavailable after 7/15.  Infield practice can continue but no hitting.

 

Volunteers (Kim / Julie)

Key updates:

  • Dibs didn’t work as smoothly as we would have liked (software compatibility??); not sure if we will use it or SUG next year.  
  • Spent $525 to fill gaps with teens (but will collect at least $1800 in buy-outs); see list of buy-outs under  discussion.
    • Others we  need to cross-check with vol sign-in sheets

  • Schedule changes = churn but nothing we couldn’t handle; once we understood how Matt works, it was slick
  • Having list of “go-to” teens was great/easy

Items requiring board discussion / vote:

  • Board approved cashing checks for those not serving their volunteer hours

 

  • Site Coord training did not happen because we were spending so much time re-working dibs/schedules.  Did anyone hear any complaints/concerns from Site Coordinators?

 

Uniforms (Sarabeth)
