SLP Traveling Baseball Board Meeting (4-15-18)

Association, Board and League (Erik /Jeb):

  • Final codes of conduct complete and distributed and shared with MBL / MBT
  • More April gym time secured including Saturday 4/20 at Batting Cages of MN

 

Items requiring board discussion / vote:

  • Managing rosters in 2018 - two teams with 10 players - approved
  • SLP LL partnership / support opportunities - approved
  • Slugfest cancellation and Refund Policy - approved

 

Treasurer (Mark)

Key updates:

  • All payments have been made (including uniforms), no outstanding bills due

Secretary and Registration (Gino)

 

Key updates:

  • 77 players (71 active, 6 inactive)
  • Registered two new players to 14/15A
  • All players rostered
  • All league game schedules loaded onto all team pages (thanks Emmy)
  • All waivers secured
  • All Birth Certificates secured
  • Team binders were distributed to coaches that included
    • Summary page (coaches contact info, key tournament dates)
    • Player/parent contact info
    • Player Birth Certificates
    • Concussion Certification certificates that were in our possession)
    • Player/Parent/Coach Code of Conduct
    • Social Media Policy

 

Player and Coach Development (Greg)

Key updates:

  • 15AAA coaching update (Zach Elder - head coach)
  • Gym practices have been well attended.   Conflicts with High School team and kids have been great about attending travel practices when they can
  • Coaches meeting update from 4/4.   All teams had two representatives. Thank you all board members for attending and assistance.   
  • Once we have field clearance we will need to get nets and keys distributed.   

 

Slugfest and Tournaments (Mike)

Key updates:

  • Refund policy for inclement weather is on the site
  • Have been reaching out to sponsors - cost is $500 for both weekends ($300 per).  We can push info to all team organizers about sponsors, e.g. coupons, ways to make reservations, etc.  5-10 sponsors - those that will benefit most are restaurants and local retailers
  • Moving forward with Jonny Pops in an in-kind donation
  • Need to get a welcome letter with checklist and sponsorship opportunities created for

 

Umpires/Trusted Coaches (Joel)

Key updates:

  • All coaches have completed Trusted Coaches process.
  • Area 728 Officials is secured for both Slugfest weekends.
  • Toby Boyum is secured for both Slugfest weekends to back-fill any umpires who do not show up.
  • Working with Little League (Ty Carlson) on umpire coverage for MBL home games at 13A & 13AAA levels.  BT Umps is covering MBL home games at other levels.
  • Coaches Meetings on 4/4 and 4/7- went well

 

Schedule (Emmy)

Key updates:

  • All games have been uploaded onto travel website
  • teams scheduled Miracle game (waiting on 14/15A for confirmation)
  • City has issued permits for every game but one 14AA game (waiting confirmation)
  • Carlson field times have been pushed back by 30 minutes on the majority of games (5-7:30 pm and 8-10:30 pm time slots)
  • With weather impacting HS league, some travel games will have to be rescheduled and the practice schedule will be delayed; will communicate with coaches frequently to ensure field and practice times are adjusted accordingly

 

Volunteers (Kim / Julie)

Key updates:

  • DIbs ready to go by end of week/next weekend
    • Adult requirement:  12-14 hours (per child)
    • Player requirement:  2 shifts (~6 hrs total)
  • All coaches with sons playing, board members exempt
  • Working to secure Site Coordinators now; 2 shifts = 12-14 hours
    • Shifts are Friday night, Sat morning, Sat afternoon, Sunday
    • Need 17 SC’s to run tournaments - have ~8 currently
  • Each site at all times will have SC, 2 adult volunteers and 2 player volunteers
  • Built schedule to include SC arrive 1 hr before first game, volunteers 30 mins prior to first game, all vols (5) stay until 1 hour after last game or tasks complete
  • SC training: Saturday, May 5, 9:00 a.m., Wolfe Park
  • Built schedule/needs assuming asst coaches exempt

 

 

Equipment (Brian)

Key updates:

Game balls and scorebooks have been ordered.
