Traveling Baseball Board Meeting

Website Update- Gino
Slugfest updates on website- need to beef it up, and add Gopher State info as soon as we get it.
Coaches contact information on website now.
Open positions for Board members listed on Board page- move to front landing page for traveling to highlight these.
Conversations with Matt Moran about website- baseball association front landing page. New landing page, will show different options, explain them, and links to each section- so it is clearer about where to go for the appropriate league/organization.
Slugfest- Todd Dvorak
Fields- meeting with Matt Moran to discuss 10s and 11s use of Little League fields for Slugfest.
Meeting on January 28 with Jim Lombardi to discuss use of city fields for Slugfest. Also discuss the portable pitching mounds- they were too big last year, and we are hoping they are willing to buy smaller mounds that are more appropriate.
Discover St. Louis Park, new interim director will send information on hotel and restaurant discounts.
Mike Thyne will find the welcome letter and rules sent to all coaches last year and send to Gino for inclusion on website. When Mark responds to teams, he will send an e-mail with a hyperlink to the slugfest page so the teams have the information they need.
Slugfest meeting next Wednesday to look at how many teams we have for each level and planning for fields.
Review of Coaches Meeting- Greg
Background Checks- Mark
We still need to find a service to use to perform the checks. Mike Thyne will research looking at MBT and MYAS. The soccer association uses www.mcdowellagency.com.
Winter workouts- Greg
We had a better than expected turnout this past Sunday. These are scheduled through January. We have a couple dates in February; Greg looking for additional dates and gym space in February and March.
Tournaments for teams- Greg and Mark
Sent all the checks and requests to the various tournaments for our teams; waiting for responses. Once complete, we will post a calendar on the website so everyone knows where every team plays when.
First Aid Kits- Mark
we have a source, we will purchase closer to season when we need them. We have built it into the budget. Stacy Moot to look at other options as well.
Treasurer’s Report- Mark
- Getting money in from slugfest
- Sending money out for tournaments for our teams.
- There have been some unexpected bills coming in- state fees for incorporation, printing fee for signs for try-outs. Need to make sure we tell Mark any potential fees so he can build it into the budget.
Cub Truck- Mark
Amy Dvorak has requested a weekend from Cub, but we do not know which one yet. 14A team will man the truck since they are not participating in Slugfest. With this, they will have no other volunteer commitment.
Player Commitment fees:

4 people have verbally said they will pay soon.
2 scholarship requests
17 no commitment fee, no communication
We have not heard from 17 players
Jenny will send another targeted e-mail to those families asking for an immediate response. Out main concern is understanding who will actually be playing, as we have other kids on waiting list if these kids will not play. If they plan to play then we need to know when the fee will be paid, and give options for payment plans and scholarships. Until we have heard from every player, we cannot determine scholarship requests- need to know how many we have.
Fundraising- Mark
Cub Truck (discussed above)
Flip Give- Mike Thyne has it all set up, just need to send an e-mail with information. Want to get all our payment (commitment and final) e-mails done first, then we will look at this.
Cookie Dough- Rob Eberle’s idea. Mark reviewed entire program. It will be a lot of work to organize and we would need someone to volunteer. Board determined that the timing is not right for this effort as so many other organizations selling things for the next several months. Right at the beginning of school would be ideal. Will table this idea until later this year
Sponsors-
If we are able to get a few sponsors then we can likely make as much as we could make selling cookie dough. Blois will talk to people and report at next meeting. What can we offer sponsors? Website ads, signs at Slugfest- need to figure this out.
Uniforms- Rob Robello has designs and getting bids. He will bring these to the next Board meeting for review and approval. Tabled to next meeting
Equipment- will have a meeting in February- go through all equipment, assign to teams, and determine what else we need to buy.
13, 14, 15 Rec Baseball- There is a lot of interest. We could form a 13/14 yo combo team. We need to find someone to run the team- maybe James Kirkpatrick. Jenny Harper will send out a note to potential players. Chris Hauer will take responses. thehauers@msn.com. Mark will send Little League list – kids that did not try out for traveling and have aged out of Little League- to Jenny. Chris will send list of 13 yo teams from last year- his and Troy Jensen’s.
